Privacy & the Photo Promise

Who we are

Little Tailor Books is a trading name of Complete Asset Solutions Ltd, a company registered in England & Wales (company number 15541955), registered office 90 Cuckoo Avenue, London W7 1BN. We are not VAT registered, so no VAT is charged. Contact: info@littletailorbooks.co.uk. We are the data controller for the information described here.

What we collect, and why

• Your child’s first name, pronoun and age band — so the story reads as theirs.
• The photo (or photos) you upload — the reference our AI paints your child from.
• Your email address — to send the free preview, the finished book and your receipt.
• Your mobile number, if you give it — to text you about your order (for example the preview link, or that your book has arrived) and the short "how did it go?" messages below.
• Anything you choose to tell us in the notes or dedication box.
• Order and payment records — what you bought, when, and the payment reference. We never see or store your card details; the card is handled entirely by our payment provider.

Our lawful basis for all of that is performance of a contract — it is what a personalised book physically requires. Keeping the order and payment record afterwards is a legal obligation (UK company and tax records, six years).

After your book arrives we ask how it went: up to three short messages — on the day it arrives (an email, plus a text if you gave a mobile), a week later and three weeks later (a text if you gave a mobile, otherwise an email), and for a Christmas book one more on 27 December. They stop as soon as you reply or leave a review. Our lawful basis for these is our legitimate interest in hearing from real customers how we did; one email to info@littletailorbooks.co.uk and you will not get another.

When your book arrives, the delivery email mentions once that you can order a second copy. We may also occasionally email you about the book you previewed or our other books. Just reply STOP and you won't hear from us again.

The photo — every copy, and how long it lives

Being specific matters more than sounding reassuring, so here is every place a photo goes:

• When you choose a photo, we check straight away that the face can be seen clearly.
• The order store behind this website. Deleted from the order record as soon as your finished book is sent.
• An order alert to our own mailbox, so a person knows a book needs painting. Your photo is attached to it. We delete that message by hand when your order is complete — it is the one copy our automatic clear-out cannot reach, so if you want it confirmed, ask and we will confirm it.
• Our computer that paints the book, which also makes working crops of the photo. The photo and every image made from it are deleted within 30 days of your book being finished — or within 90 days if the order is abandoned and never completed. Every deletion is written to a log, and you are welcome to ask us for the record of yours.

What we keep after that: your finished book, its illustrations, and a short written description of your child’s character (hair, eyes, the beads in their hair) — so that if you want a reprint, a fix or another book in a year’s time, we can do it without asking you for a photo again. If you would rather we deleted that too, say the word and we will.

We do not use face recognition. The photo is a reference an illustration is painted from; it is never used to identify anybody, and it is never matched against any other image.

Who else touches your data

Only the kinds of supplier it takes to run a small book business, each under contract and only for our order:

• Our website host — runs the website and stores our order records.
• Our email services — send our emails to you.
• An independent review website — website orders only. When your book arrives we send the review website a copy of our delivery email — your name, email address and order reference, and the email’s own words, which include your child’s first name — so it can send you one invitation to review us. Reviewing is entirely your choice. Etsy orders are never passed to it.
• Our payment provider — takes your payment (they, not we, handle your card).
• The AI image services that paint the illustrations from your photo — used under business terms that do not permit your photo to be used to train their models.
• Our printer and the delivery companies that carry the parcel — for hardcover orders only. They get your name, the delivery address and your email address, and the finished book — never the original photo.
• The advertising platform that shows our adverts — a scrambled copy of your email address and phone number, your browser type, our order number and, if you came from our advert, its click code: see “Our adverts on social media” below.

Some of those suppliers process data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the UK International Data Transfer Addendum.

Children

The books are for children, but the customer is always an adult. By ordering you confirm you are over 18 and that you are the parent or guardian of the child in the photo, or have their parent’s permission. We will not knowingly accept a photo from anyone else.

Your rights

You can ask us for a copy of your data, ask us to correct it, or ask us to delete it — one email to info@littletailorbooks.co.uk is enough and we will answer within a month. You can also object to processing or ask for your data in a portable form. If you think we have got it wrong you can complain to the Information Commissioner’s Office at ico.org.uk, though we would rather you told us first so we can put it right.

Cookies

This site sets no cookies and shows no cookie box. Your browser sends nothing to advertising companies; what our website itself tells an advertising company is explained under “Our adverts on social media” below.

We count visits with our website host’s privacy-friendly visit counter, which sets no cookie and keeps nothing that identifies you. While you look around, your browser tab keeps a short note of which advert or website sent you here, so that an order placed in that visit is credited to it. It holds nothing personal and it is gone when you close the tab. The order form also asks how you found us; your answer is the other way we learn which adverts work.

Our adverts on social media

When you order, our website tells the advertising platform that shows our adverts what happened: that photos were sent for free pages, that you looked at your free pages, that you opened the payment page and, if you pay, that it became a sale and for how much. With it we send a scrambled copy of your email address and phone number (scrambled on our side, so the platform can only match it to an account it already has, it cannot read it), our order number, your browser type and, if you came from our advert, the click code the platform added to the advert link. We never send your name, address, photos, your child’s details or anything else you typed, and nothing is stored on your device for it.

The platform uses this to tell us which adverts work and to show them to people more likely to want a book. Our lawful basis is our legitimate interest in knowing whether our advertising works. If you would rather we did not, email info@littletailorbooks.co.uk and we will report nothing more about your order; you can also control this in the app’s own privacy settings.

Changes

If this policy changes we will update the date at the top. Material changes affecting an order already placed will be emailed to you.
